Booking & Payments
A booking is confirmed only after we receive the required deposit or full payment. You will receive a written confirmation via email. A deposit (usually 30%–50%) may be required to secure your booking. Full payment must be completed before the tour departure date. Payments may be made via bank transfer, credit/debit card, or other approved methods. Prices are quoted in USD (or as specified) and may change due to currency fluctuations, fuel surcharges, government taxes, or supplier changes. We reserve the right to correct pricing errors.

Cancellations & Refunds
Cancellations must be made in writing. Refunds (if applicable) may follow this structure: 60+ days before departure – Full refund minus administrative fees; 30–59 days – 50% refund; Less than 30 days – No refund. Certain permits (e.g., gorilla permits) may be non-refundable as per government regulations. We reserve the right to cancel tours due to force majeure, insufficient participants, or safety concerns. In such cases, clients may receive a full refund or alternative tour arrangements of equal value. We are not responsible for additional personal expenses (e.g., flights, visas, insurance).

Travel Documents & Requirements
Clients are responsible for valid passports (minimum 6 months validity), visas and entry permits, vaccinations and health requirements, and travel insurance. We are not liable for denied boarding or entry due to incomplete documentation.

Travel Insurance
Comprehensive travel insurance covering trip cancellation, medical emergencies, evacuation, and personal belongings is strongly recommended before travel.

Changes to Itinerary
While we aim to operate tours as planned, we may modify itineraries due to weather conditions, park regulations, road conditions, or safety concerns. We will provide comparable alternatives whenever possible.

Limitation of Liability
Epic Africa Tours acts as an intermediary between clients and third-party service providers (hotels, airlines, transport operators, national parks). We are not liable for injury, illness, or death; loss or damage to personal property; delays or changes caused by third parties; or acts of nature or force majeure events. Participation in safaris and adventure activities involves inherent risks. By booking, you acknowledge and accept these risks.

Client Responsibilities
Clients agree to follow guide instructions, respect wildlife and local laws, and behave respectfully toward staff and other travelers. We reserve the right to remove any traveler whose behavior is disruptive, illegal, or dangerous without refund.
